TERMS, CONDITIONS & POLICY

Advantage Music Academy prides itself on being being fair, transparent and displaying integrity. On this page you will find the terms and conditions of enrolment for each program and various policies. It is important that the person responsible for enrolment (i.e. the payer) understands that they accept the applicable terms and conditions and all policies upon payment and enrolment. 

Every term, condition and policy below is relevant and important, however, we've highlighted portions that answer common questions we are asked.

Privacy Policy

All personal information is kept strictly confidential. Only administrative staff have access to personal information. Advantage Music Academy does not share personal information with third parties, including other students and/or their families, even if they are known to each other. Personal information to maintain enrolment profiles and to keep students and/or their families informed about services and events. 

Social Media

From time to time Advantage Music Academy staff will take images, video and/or audio of students and/or parents for marketing purposes to be posted on our website, in social media such as Facebook and Instagram, and in printed media. Under no circumstances will you or your child(ren) be identified/named, including tags in social media, without your consent which this agreement does not imply. If you do not wish for your own or your child(ren)’s image and/or voice to be used for marketing purposes, you must inform the Academy in writing. 

Behaviour Management

Students have the right to learn without hindrance from others. Actions of any kind that breach this right are not tolerated.

All persons who enter the premises are expected to respect other people, including staff, other students and their families, as well as the property of Advantage Music Academy.

Children are expected to be compliant with instructions given by any staff member. Behavioural issues that cause disruption to others and/or prevent staff from carrying out their duties are raised with the Academy Director and managed in coordination with parents and/or guardians. Continued behavioural issues will result in termination of enrolment. 

Parents and/or guardians are expected to monitor children in their care and ensure that they are compliant with this policy. The Academy reserves the right to reprimand children who are not compliant.

Duty of Care

Advantage Music Academy takes reasonable steps to ensure all its clients are safe and protected from abuse of any kind. Parents and guardians of students under the age of 18 years agree to be present at all times. All parents and guardians acknowledge and agree that Advantage Music Academy is not responsible for minding children under the age of 18 years in the absence of a parent or guardian and as such indemnify ​Advantage Music Academy against liability in the absence of a parent or guardian. Parents and guardians who leave a child under the age of 18 years in the Academy acknowledge and agree that they do so at their own discretion and risk.

Guarantee of Service

All students and/or parents or guardians of students under 18 years of age accept responsibility for maintaining progress through consistent practice and/or study as instructed by staff in order for the services provided by Advantage Music Academy to be effective and yield results. All students and/or parents or guardians of students under 18 years of age indemnify Advantage Music Academy against liability should the student fail to maintain reasonable progress and/or practice and/or study as instructed. 

Health & Safety

In the interest of the health and safety of all students, parents and teachers, students and parents/guardians are not permitted to enter the premises if unwell. 

Where at least 4-hours' notice is given, students who are unwell can have their lesson online if well enough at the same time as the original booking.

Teaching Staff

All students are students of the Academy, not the individual teachers, much like a gym class, a school, or a university. While the Academy does not offer the choice of teacher, it aims to meet student preferences where possible. All staff work to the same standard of teaching excellence, uphold the same principles, and are all subject to review from the Academy Director to ensure consistency across all staff.

From time to time the teacher may change for a variety of reasons, including, but not limited to, illness (short term or long term) or other personal reasons, or if the Academy deems a staff member unable to fulfil their contract. Should a change of staff occur during a term, including both temporary and permanent changes, enrolment is maintained. Any lessons the Academy is unable to provide due to such change will be credited to the subsequent term or refunded in accordance the terms and conditions of withdrawal.

 

The Academy commits to providing seamless transitions between changes of staff whether the change is short term (relief) or permanent.

Missed Lessons

Lessons missed by the student are forfeited, however, lessons cancelled with at least 24 hours notice will be recorded and an alternative time will be offered where possible. If an alternative booking is offered and the student does not attend, with or without notice, the lesson is forfeited. Alternative bookings are only possible within the term in which the lesson was missed and do not carry forward into subsequent terms, including the school holidays.

 

If the Academy cannot provide a scheduled lesson, that lesson will, at the discretion of the Academy, be either rescheduled or credit will be applied to the next term.

 

The Academy does not make exceptions for personal holidays or events and celebrations such as Halloween or school events, birthday parties, other activities such as sports and hobbies that may result in scheduling issues. Only in extenuating circumstances such as prolonged illness will exceptions be considered at the Academy's discretion. Enrolment is only secured and maintained by payment.

 

This policy maintains student's enrolment and allows the Academy to attract and keep good staff and continue to invest in providing the student the best possible music education.

Minimum Term

Enrolments, except for Early Starters Music and Movement and adult casual enrolments, are enrolled for a minimum of one term. Mid-term enrolments between weeks 1 and 7 inclusive are required to enrol for the remainder of the term in which they enrol. Mid-term enrolments between weeks 8 and 10 inclusive are required to enrol for the remainder of the term in which they enrol and the subsequent term.

Withdrawal & Refunds

Withdrawal notice must be given in writing. Refunds will be provided under the following conditions:

  • 14-days' notice before the first day of the relevant term: a full refund of the tuition fee will be provided less a $35 cancellation fee and any discount amounts (two- and four-term payment periods);

  • 7-13-days' notice before the first day of the relevant term: a partial refund of 50% of the tuition fee will be provided less a cancellation fee of $35and any discount amounts (two- and four-term payment periods);

  • Less than 7-days' notice before the first day of the relevant term: no refund will be provided;

  • Withdrawal once the relevant term has commenced: no refund will be provided.

 

Term Length

 The Academy teaching periods generally align with the public school calendar. The length of each term is determined by the Western Australian Department of Education as published on their website. The Academy has the right vary the dates of its teaching periods where notice is given before payment is made for the affected period.

 

Lessons which fall on public holidays will be deducted from tuition fees. Public holidays observed by Advantage Music Academy are those set forth by the Western Australian Department of Commerce as published on their website. Lessons can be arranged on school holidays and public holidays on an individual basis and are subject to availability. Events such as Halloween are not recognised by the Academy.

 

Lessons which fall outside of the last day of school but within the final week of a term continue to the weekend following.

Payment

Tuition fees are paid via bank transfer (see below) or by credit card online and payable in full.

 

Payment for each subsequent term of enrolment (as determined by the type of enrolment payment period) is due 14 days before the term commences.

Payment overdue by 7 days incurs a penalty of $35. Payment overdue by 14 days results in immediate termination of enrolment.

Payment for mid-term enrolments are required within 7 days of enrolment.

 

Students enroling for the first time who wish to delay commencement to the following term are required to pay in advance or enrolment will not be guaranteed. This can be done at a maximum of 6 weeks in advance of the first week.

 

Students are encouraged to contact the Academy to discuss options if there are any issues making payment.

Changes to Bookings

Once payment has been made, changes to bookings cannot not be guaranteed. If the student becomes unable to attend the original booking, tuition fees are forfeited. Changes to bookings are subject to availability. We do not make exceptions for changing personal schedules such as sports. Once payment is made, you accept the minimum term is paid for irrespective of attendance.

Communication

All communication between the Academy and students or parents/guardians of students under the age of 18 years is to be made via call, email, or in person. The Academy does not recognise text messages as a means of official communication.

 

All students or parents/guardians of students under the age of 18 years accept that the primary and official channel of communication from the Academy is email and idemnify the Academy against any consequences resulting from failure to maintain their email account.

 

Trial Lessons

(Instrumental & Vocal Program)

Trial lessons maybe offered to prospective students at the Academy's discretion. Trial lessons are $35 and paid for in advance. If payment is not received before the lesson, the lesson will be cancelled. Trial lessons cannot be rescheduled once paid for. The lesson fee is non-refundable.

Access to a suitable instrument

Students must have access to an acoustic piano no later than 12 months after commencing tuition.

Health & Safety

Teaching Staff

Students accept that in exceptional circumstances, another teacher may act as a substitute.

Minimum Term

Mid-term enrolments between weeks 8 and 10 inclusive are required to enrol for the remainder of the term in which they enrol and the subsequent term.

Rescheduling

Students accept that from time to time lessons may be rescheduled by the Director to attend to operational duties.

Withdrawal & Refunds

Once payment has been made, no refunds are provided for withdrawal.

Multi-Term Discounts

No discounts are available.

Missed Lessons
