Privacy Policy


All personal information is kept strictly confidential. Only administrative staff have access to personal information. Advantage Music Academy does not share personal information with third parties, including other students and/or their families, even if they are known to each other. Personal information is used to maintain enrolment profiles and to keep students and/or their families informed about services and events.




Photography


From time to time Advantage Music Academy staff will take images, video and/or audio of students and/or parents for marketing purposes to be posted on our website, in social media such as Facebook and Instagram, and in printed media. Under no circumstances will you or your child(ren) be identified/named, including tags in social media, without your consent which this agreement does not imply. If you do not wish for your own or your child(ren)’s image and/or voice to be used for marketing purposes, you must inform the Academy in writing.




Duty of Care


Advantage Music Academy takes reasonable steps to ensure all its clients are safe and protected from abuse of any kind. Parents and guardians of students under the age of 18 years agree to be present at all times. All parents and guardians acknowledge and agree that Advantage Music Academy is not responsible for minding children in a parent's or guardian's absence. Parents and guardians who leave a child under the age of 18 years in the Academy acknowledge and agree that they do so at their own discretion and risk.




Behaviour Management


Students have the right to learn without hindrance from others. Actions of any kind that breach this right are not tolerated. All persons who enter the premises are expected to respect other people, including staff, other students and their families, as well as the property of Advantage Music Academy. Children are expected to be compliant with instructions given by any staff member. Behavioural issues that cause disruption to others and/or prevent staff from carrying out their duties are raised with the Academy Director are managed in coordination with parents and/or guardians. Continued behavioural issues will result in termination of enrolment. Absuive behaviour of any kind will result in immediate termination of enrolment without refund. Parents and/or guardians are expected to monitor children in their care and ensure that they are compliant with this policy. The Academy reserves the right to reprimand children who are not compliant.




Payment


All tuition fees are paid via direct debit. EFT payments are not an option. See 'Direct Debit' for more information. Students enroling for the first time who wish to delay commencement to the following term are required to pay in advance or enrolment will not be guaranteed. This can be done at a maximum of 6 weeks in advance of the first week. Account holders are encouraged to contact the Academy to discuss options if there are any issues making payment.




Health & Safety


In the interest of the health and safety of all students, parents and teachers, students and parents/guardians are not permitted to enter the premises if unwell.




Minimum Term of Enrolment


Enrolments, except for casual Early Starters Music and Movement and adult casual enrolments, are enrolled for a minimum of one term. Mid-term enrolments between weeks 1 and 7 inclusive are required to enrol for the remainder of the term in which they enrol. Mid-term enrolments between weeks 8 and 10 inclusive are required to enrol for the remainder of the term in which they enrol and the subsequent term.




Communication


All communication between the Academy and students or parents/guardians of students under the age of 18 years is to be made via call, email, or in person. Except when the Academy occassionallys send text messages for urgent matters that affect multiple students, the text messages are not recognise as a means of official communication. All students or parents/guardians of students under the age of 18 years accept that the primary and official channel of communication from the Academy is email and idemnify the Academy against any consequences resulting from failure to maintain their email account




Term Length


The Academy teaching periods generally align with the public school calendar. The length of each term is determined by the Western Australian Department of Education as published on their website. The Academy has the right vary the dates of its teaching periods where notice is given before payment is made for the affected period. The exact dates of each term are published on the Academy website. Events such as Halloween are not recognised by the Academy.




Teaching Staff


All students are students of the Academy, not the individual teachers, much like a gym class, a school, or a university. While the Academy does not offer the choice of teacher, it aims to meet student preferences where possible. From time to time the teacher may change for a variety of reasons, including, but not limited to, illness (short term or long term) or other personal reasons, or if the Academy deems a staff member unable to fulfil their contract. Should a change of staff occur during a term, including both temporary and permanent changes, enrolment is maintained. Any lessons the Academy is unable to provide due to such change will be credited to the subsequent term or refunded in accordance the terms and conditions of withdrawal. The Academy commits to providing seamless transitions between changes of staff whether the change is short term (relief) or permanent.




Public Holidays


Lessons which fall on public holidays are rescheduled either before or after the dates of the term.





Instrumental & Vocal Enrolments

Guarentee of Service


All students and/or parents or guardians of students under 18 years of age accept responsibility for maintaining progress through consistent practice and/or study as instructed by staff in order for the services provided by Advantage Music Academy to be effective and yield results. All students and/or parents or guardians of students under 18 years of age indemnify Advantage Music Academy against liability should the student fail to maintain reasonable progress and/or practice and/or study as instructed.




Irregular Lessons


Students taking lessons fortnightly or at any irregular interval are subject to the following conditions:

  • The student will always be scheduled first or last on the day of the lesson.
  • A minimum enrolment of five 30-minute lessons over a term.




Changes to Bookings


Once payment has been made, changes to bookings cannot not be guaranteed. If the student becomes unable to attend the original booking, tuition fees are forfeited. Changes to bookings are subject to availability. No exceptions are made for changing personal schedules such as sport schedules. Once payment is made, the minimum term of enrolment is paid for irrespective of attendance. Requests to change bookings must be done by completing a request form via the students page on the website.




Withdrawal & Refunds


If for any reason you need to cancel your enrolment, you must inform us before the census date. See under 'Census Dates' under DIRECT DEBIT. If enrolment is cancelled after the census dates, one month's tuition is charged.




Missed Lessons


The Academy does not reschedule lessons missed by the student. When a student is absent, staff will create practice material and instructions using video and/or text through ClassDojo (for children) or Youtube (for adults). If the Academy cannot provide a scheduled lesson, that lesson will, at the discretion of the Academy, be either rescheduled or credit will be applied to the next term. IN the event of circumstances outside of the Academy's control, such as any disruption to operations, lessons will be rescheduled with reasonable notice. The Academy does not make exceptions for personal holidays or events and celebrations such as Halloween or school events, birthday parties, other activities such as sports and hobbies that may result in scheduling issues. Only in extenuating circumstances such as prolonged illness will exceptions be considered at the Academy's discretion. Enrolment is only secured and maintained by payment. This policy maintains student's enrolment and allows the Academy to attract and keep good staff and continue to invest in providing the student the best possible music education.





Early Starters Music & Movement Enrolments

Missed Classes


Classes missed by the student are forfeited. Subject to availability, students may attend an alternative class where at least 24-hours' notice is provided. If the Academy cannot provide a scheduled class, that class will, at the discretion of the Academy, be either rescheduled or credit will be applied to the next term. The Academy does not make exceptions for personal holidays or events and celebrations such as Halloween or school events, birthday parties, other activities such as sports and hobbies that may result in scheduling issues. Only in extenuating circumstances such as prolonged illness will exceptions be considered at the Academy's discretion. Enrolment is only secured and maintained by payment. This policy maintains student's enrolment and allows the Academy to attract and keep good staff and continue to invest in providing the student the best possible music education.




Behaviour Management


Parents and guardians are expected to maintain the behaviour of the student in their care and prevent the student from disrupting the class and distracting other students. The Academy reserves the right to intervene if the parent or guardian is not compliant.




Casual Enrolments


Casual enrolments are required to email or text before attending to check if a place is available.





Direct Debit Payments

Obligations


Using direct debit payments does not change the terms and conditions of enrolment. Payments will be collected for the full term regardless of attendance. Payments will automatically continue into each subsequent term. See NOTICE PERIODS.




Payment Recurrence


Monthly direct debit payments are taken on the 4th day of each month. Upfront payments are taken on the first day of the break between terms. See below. For term 2: April 2 For term 3: July 6 For term 4: September 27




Failed Payments


The failed payment fee is charged by the provider. If payment fails, we will attempt to take payment 3 days later. You will be charged the failed payment fee every time payment fails.




Outstanding Debt


Any outstanding debts will be forwarded to our preferred debt collector, Australian Debt Collection. Any debts collected will include collection fees charged by Australian Debt Collection.




Transaction Fees


  • Bank accounts: $0.99 per transaction
  • Visa & Mastercard: 1.99% per transaction
  • AMEX & Diners: 2.70% per transaction
These fees are factored into your monthly payments.




Set up Fee


The admin fee is a setup and maintenance charge of $9.90 from the provider and from us. This is only charged once in the first payment.




Census Dates


If for any reason you need to cancel your enrolment, you must inform us no later than the last day of term prior to the term from which your enrolment will be withdrawn. You cannot cancel enrolment mid term. If notice is given after the deadlines, one-month's tuition fee will be charged. If you pay upfront, you will receive a refund less one-month's tuition fee. 2021 deadlines for withdrawal without incurring further charges. Term 2: April 1 Term 3: July 5 Term 4: September 25





Discounts

Four-Term Discounts


A 10% discount on tuition fees apply for a four-term commitment. Payment may still be made monthly. Tuition fees will revert to standard rates if enrolment is cancelled before the four-term period is complete. The discounted amount will be recuperated via direct debit.




Early-Bird Discounts


A 5% discount applies to tuition fees when paying quarterly (each term upfront) no later than Friday of the fifth week of the term prior to the term for which payment is due. Tuition fees revert to standard rates and a cancellation fee of 5% of the total tuition fee before discounted applies. The discounted amount will be recuperated and the cancellation fee charged via direct debit.
